Every branch manager sends a report every month. An agent reads all of them, compares each with the month before and drafts the director’s reply. He sends it.
Grupo Coel distributes electrical material from branches across Mexico. 2Sunrise built the agent that reads the branches’ monthly reports, and runs it from Mexico City.
The problem it solves
Every month each branch manager sends dirección a short report: the clients, prospects and projects the branch is working on, with a comment on each. Hundreds of comments a month. Nobody could read them all by hand, and many arrived late.
What it does
- [1]Reads every report from a mailbox the managers already use, copies every figure by code and lets the model read only the comments. Every number and every name is checked before a word is written.
- [2]Compares each branch with the month before: what moved, what was copied, what went quiet.
- [3]Drafts one letter per branch, in the commercial director’s voice, as a reply in the manager’s own thread. He reads, edits if he wants, and sends.
- [4]Sets a colour per branch by code: amber when a comment is missing or copied, red when a credit or pricing problem has no action behind it, green otherwise.
- [5]Delivers the director’s traffic-light sheet in his own layout, with one reminder draft in his words for every manager who did not send.
- [6]Reads late reports the next night and marks them late. A branch with a new manager, or a closed one, can be left out of a month with a reason.
- [7]A private console: who delivered and who did not, the branches worst first, every letter beside the rows it came from, the history month by month, on a phone.
Live in under two weeks. Every month since, the agent closes the month on its own: every report read, every reply drafted, every missing one chased. Operating month to month.
How we run it
Every night the agent runs. When a night fails, we know before the client does. Adjustments are part of the month: the criteria behind a colour, the tone of a letter, the reminder text, a cut-off date. The director changes his mind about a rule, and the rule changes.
